Vocalize Choir Ltd operates Vocalize Choir and Vocalize Youth – a collection of local community pop, rock, soul and Motown choirs in Verwood, Dorset. The choirs comprises of paid members who rehearse weekly towards a main annual show and have the opportunity to be involved in professional recordings and charity projects.

 

How we collect data and its use

We currently collect and process the following information from membership forms, from our contact form on the website or social media, completing vocal assessments surveys or health assessment forms. Data is collected in order for us to respond to online queries submitted via our website and social media, for membership administration when signing up to the choir, for attending choir practices that may fall under any Covid-19 guidance and restrictions, to provide the best service in relation to your choir performance and vocal lessons you may undertake and to communicate to members in relation to products and services offered by Vocalize Choir Ltd. We do not operate a mailing list for website subscribers and only communicate to members via email for operational purposes

 

What data we hold

We currently collect and process the following information from website and social media enquiries

  • Full Name and Email Address

  • Full Name, Email Address, Telephone Number, Date of Birth, health/medical conditions that members wish to disclose, Next of Kin Name, Next of Kin Email Address, Next to Kin Telephone Number. For Vocalize Youth, Next of Kin is also the Legal Parent / Guardian of the child.

  • Gender, sexual orientation, race and sensitive Medical and Health information may also be processed for members who disclose this either on any sign up forms, in person or during one-to-one vocal coaching lessons as part of the pre-lesson vocal health assessment. All information as part of the pre-lesson vocal health assessment is optional.

 

 

Where we keep your data

Your data is stored electronically through our website provider Wix.com. It is accessible by laptop and phones which are protected by password, PIN, firewall and antivirus software. Enquiries from the website may also be saved on Wix.com – our content management system for creating and managing the website. This is password protected and accessible only by Directors and Coaches of Vocalize Choir Ltd and is deleted once an enquiry has been responded to. Membership data is kept for operational purposes and is reviewed on a regular basis. Data may also be saved within password protected iCloud or Google Drive accounts (Docs, Forms & Sheets) for the purpose of collecting data for vocal assessments, completing surveys and attendance registers, again only accessible to Directors and Coaches of Vocalize Choir Ltd. Some data is in printed format for registers or lists associated with rehearsals or performances. Printed data is shredded and disposed of securely. 

 

Do we share your data?

We may share your data with directors, employees or volunteers of Vocalize Choir Ltd for the purpose of rehearsals, performances or other services offered by the business. If we are required to share your name for any performance purpose (ie. Security at a venue), we will never share your contact details. Should there be a First Aid incident during attendance at a Vocalize Choir Ltd event, your data maybe stored on the venues First Aid reporting book/system. 

 

We will only share your data to a third party if it is in the interest of a criminal investigation whereby, we are obliged to or in extreme cases for an emergency or risk to life.

 

Under the General Data Protection Regulation (GDPR), the lawful bases we rely on for processing this information are:

How long we hold your data

Data will be permanently deleted from our electronic records and any paper records will be shredded and disposed of securely should you request or should you terminate your membership with us in writing with a written request to delete your data records.

Cookies are not currently used on our website but we do make use of Google Analytics to measure general website statistics and traffic. This is in the interest of improving the user experience on our website and offering the best content and service for the user.
